Booth Set-Up Dates & Times
It is recommended that exhibitors not anticipate beginning booth set up before 8:00 am, Sunday, September 24. While some materials will be in place before that time, you will not want to stand around waiting for drapes to be put up, crates moved into individual booths, etc. If you have reserved an island of 1,500 square feet or larger, you may be able to arrange for a Friday or Saturday set up by emailing Don Ellis of Shepard Exposition Services, phone: 404.720.8635.

Important Note: All exhibits must be completely set up for final inspection by 8:00 pm Monday evening. We must be able to get the crates out of the aisles by that time to allow time to lay the aisle carpeting before the show opens at 9:30 am Tuesday. No Displays Are To Be Dismantled Until 3:00 pm Friday, September 29. This Will Be Strictly Enforced!!!
We will have 100 trailer loads of crates to deliver to exhibitors when the show closes at 3:00 pm on Friday. It will be impossible to get crates to all exhibitors within a few hours, so be prepared to spend Friday night in Las Vegas if you have crated equipment/materials. Assign one person to stay until your freight has been picked up.

What Your Booth Fee Covers
The fee you paid SGIA for exposition space covers booth space, gray carpeting (except for islands - unless ordered separately), alternating red and white back drape and red side rails, as well as a 7 inch x 22 inch sign. Any other items you may require (tables, chairs, plumbing, electrical, etc.) must be ordered on the appropriate form.
Ceiling, Aisles, Columns, Floor
The clear span ceiling in the exhibit hall is 35 feet. There are limitations on your booth height, however. Please refer to the Exhibit Rules & Regulations listed in the Exhibitor Service Manual. All cross aisles are at least 10’ wide. The floor under all booths will be carpeted gray, and carpeting is included in the booth fee, except for islands. Aisle carpeting will be red. Flooring is concrete, with a floor load capacity from 175 pounds per square foot and up. The exhibition hall is located on Level 1.
Carpeting, Back drape, Side Rail
The floor under all booths will be carpeted gray, except for islands. Exhibitors located in islands who have indicated they want carpeting and have paid the additional amount due will receive same. Aisle carpeting will be red, back drape will be in alternating red and white and side rails will be red. If you want another color of carpeting other than gray, you may order it at $1.95 per square foot direct from Shepard Exposition Services at 404.720.8600. Extra carpet padding is available and may be ordered from Shepard.
How to Order and Get What You Want
If there is something you need in your booth and it is not included in this Exhibitor Service Manual, call Exhibitor Services at 404.720.8600 — and they will be glad to get it or provide you a source so you can make your own arrangements. All advance orders require full payment. Shepard Exposition Services will accept all major credit cards, bank transfers, company checks, or cash. Full payment is required on advance and on-site orders for all utilities.
Contract between Exhibitor/Association
You will find a copy of the show rules and regulations you agreed to when you signed a contract for exhibit space in the Exhibit Service Manual. Also included under that section are details referencing other rules often overlooked by our exhibitors. It is strongly recommended you review this material. Booth Personnel Badges
Control your booth personnel badge list by taking advantage of our On-Line Exhibitor Registration (available May 30). You can make edits or additions to your initial list until September 22. Please be certain the personnel working your booth understand they must report to the Exhibitor Registration Desk - not the general registration area. Instruct your personnel to read the headers so they go to the proper registration desk. This year Exhibitor Registration will be located in the C3 Concourse off the main lobby.
Compared with other expositions, the price we charge for exhibit space is low to moderate. In order for us to continue offering booth space at a reasonable price, we must continue our policy of “no frills.” Exhibiting companies are allowed a certain number of exhibitor badges at no charge - depending on the amount of booth space reserved. After the number allowed has been used, the exhibiting company is required to pay for badges for additional personnel ($15 per badge in advance or $20 if ordered after September 8 and for ALL badges ordered on site).
Complimentary Expo Entrance Available to your Customers!!
We are pleased to offer you complimentary expo entrances for your customers if they register by August 31 (available May 30).
Attendees who do pay the exposition fee can get a $30 voucher if they attend one of three special membership sessions (SGIA Eye Opener), which will be held the mornings of September 27-29. Details on this will be made available in future attendee promotional materials.
Registration System
We are using Registration Control Systems' registration system. If you use it properly, it will give you valuable information about the person who visits your booth. Complete details at Registration Control Systems. If you wish to take full advantage of our registration system, it will be necessary for you to order card readers. Electricity is required for all but two of the readers! We understand the ExpoMobile - Swipe & Go Mode with the download to USB Memory Stick is very popular. At the conclusion of SGIA'06, you will be provided with a listing of all attendees, which will be available for you to download from the SGIA Web site three or four weeks after the convention. The specific Web address will be given to you after the Exposition. There is no charge for this list. If you wish to order special lists or mailing labels, these can be ordered directly from SGIA for a fee.
Food Service The official caterer at the Las Vegas Convention Center is ARAMARK Convention & Cultural Attractions. If you wish to serve food or drink items from your booth, contact them for assistance. An order form is included in this Exhibitor Service Manual. You can also order lunch to be delivered to your booth.
Deliveries to Your Booth
If it is necessary for you to have a package delivered to you while the exposition is in progress, please direct the person delivering it to turn it over to personnel working at the Exhibitor Registration Desk. We will then get word to you that there is a package for you at the desk. It will be your responsibility to pick it up from that area.
Show Service Desk
After you have arrived at the show and need to check on an order you have placed for drayage, electrical, plumbing, tables, chairs, etc. - anything at all having to do with the set up or tear down of your booth - just go to the Show Service Desk. The exact location of the Show Service Desk will be included in an upcoming issue of the Expo Extra. It is suggested that you bring copies of all order forms, bills of lading, etc. with you. Proper documentation will make solving your problems easier and quicker.
Back by popular demand is the Trade Show Floor Concierge Service. What this means is a customer service representative will be assigned to you on site and will be available on the show floor. This should save you trips to the Show Service Desk because the customer service rep should be able to handle your needs from your booth.
Press Releases
Our trade publications are interested in learning about new products available to the screen printing and graphic imaging industry. If you will be introducing something new at the show, please prepare 25 copies of a press release with details and drop it by the SGIA Press Room at the Convention Center upon your arrival (Room N119, Lobby Level).
Planning
Make plans to begin your display installation so that you may take advantage of the non-overtime hours available. Please complete your installation by 8:00 pm, Monday, September 25. Assign one person to handle the follow through on all exhibit orders and details from set up to tear down. Be prepared to spend Friday night, September 29, in Las Vegas if you have crated equipment/materials.
Shipping
Take advantage of your 64% discount from Yellow Transportation (pdf 446K) (if you are a member of SGIA). Make sure your exhibit is shipped and properly addressed to arrive early enough to avoid overtime charges for installation. Read the shipping instructions carefully. If freight is damaged during shipping and you are paid for the equipment damaged by the shipping company, the shipping company has the right to sell your equipment to whomever. Therefore, the Association recommends that when you obtain your insurance from a freight line, you put in a stipulation up front that you retain the right of saying how the shipping company can dispose of your equipment so they cannot sell it to a competitor.

Please refer to the Union Jurisdiction information regarding what you can and cannot do in setting up your own booth.
Move In/Move Out - Critical To Your Success
The following checklist details some of the more critical actions you should take to assure a problem-free experience. Almost all apply to displays of all kinds - from the most simple to the most elaborate configuration. Although some of the items contained herein have already been covered, their importance merits being repeated:
Wherever possible, keep design and construction simple. The simpler the construction, the faster (less expensive) set up and tear down will be.
Ship well in advance of the show. Rather you should pay for a few days warehousing on site, than have your materials arrive late and blow your whole schedule. (No storage fee for 30 days or less.) Note: Shipments should not be sent to the Convention Center.
Arrive on site before your shipments are scheduled to be moved in. This way, you can check your master list as cartons, crates, etc. are delivered to your booth. Label all crates, cartons, etc. clearly. Remove old labels. Indicate clearly which side is up. Why not color code your crates for easy identification?
Mark the crate that contains set-up hardware and instructions with “Open Me First.”
Always bring duplicate sets of drawings and all order forms with you to the show.
If you can afford to crate shipments, do so. Long-term savings from shipping by common carrier, as opposed to padded van, will more than pay for construction of crates.
Do not begin booth erection until your set-up crew fully understands the sequence of events. A half-hour briefing may be less costly than having a crew blindly set up an expensive, custom-built display.
Do as much pre-wiring, etc. as possible before shipping. Equipment and displays are cheaper to pre-wire and skid at the factory than to assemble on site.
If the set-up crew does a good job, arrange to have the same crew tear down your display. They’ll save you time and money.
Security
In an effort to help you protect your products, you may wish to take the security measures listed below. If you have a great deal of equipment or something in your booth that is quite valuable, you may wish to hire guard service on your own. An order form is contained in the Exhibitor Service Manual. We remind you that security for your valuables at the show is a shared responsibility. We will do everything we can to assure the safekeeping of your equipment, etc. Part of the burden, however, also rests with you. We expect several thousand individuals to walk through the show. If you leave handbags, calculators, video games, and other easy-to-conceal valuables lying around, you’re asking that they be stolen. In addition, if you do not lock up portable electronic gear, lenses, etc. at night, you might as well kiss them good-bye.
The following security measures are being taken by SGIA to assure the safeguarding of your materials:
Uniformed security guards have been hired and will be on site 24 hours a day beginning with the first day of move in.
No one — exhibitors or attendees — will be permitted on the show floor without a badge. This will be strictly enforced not only during the show, but also during set up and tear down, with only exhibitors allowed on the floor during those times. Sorry, but we’d rather see you angry over not being able to gain access to the floor than see you angry because someone not associated with the show has removed equipment or valuables from your booth. We have absolutely no control over employees of the hall, however, so please take advantage of our suggestions.
During exposition days, exhibitor personnel will not be permitted on the floor until one-and-one-half hours prior to the opening of the show and must leave the hall one-half hour after closing.
If you must work on your equipment after show closing and if it takes more than one hour to make your repairs, you will be responsible for the payment for an additional guard to be on duty while you are on the exposition floor. Arrangements must be made at the SGIA Show Office by 5:00 pm (Room N115, Lobby Level).
Best Booth Award
SGIA will honor exhibitors who put extra effort into planning and developing a booth which successfully exploits the fundamentals of merchandising. Criteria include visual appeal, booth layout, and the ability of the display to convey benefits to the prospect. Your booth layout should tell the participant in big, bold letters what the product is, what it does, and who you are - in that order. Complete details are contained in the Exhibitor Service Manual. Booths of less than 400 square feet will not automatically be judged unless you complete the form letting us know you want your booth to be judged.
Wrap Area
The wrap area at the SGIA Digital Expo held in December was a huge success, so we are going to repeat it at SGIA ’06. We are looking for exhibitors to wrap unusual items at SGIA ’06 – boats, displays, etc., etc. – not just vehicles. SGIA will provide the space and advertising. You will be responsible to provide the item to be wrapped, the media, labor, shipping and drayage. If you want to participate – even if it’s to wrap a vehicle – please contact sylvia@sgia.org.
Gathering Point
With so many people having cell phones now, we will no longer have a Message Center at our conventions. However, for attendees and exhibitors who need a specific place to meet for various reasons, we will have a location in the Convention Center lobby labeled “Gathering Point” for this purpose. This area will have a Message Board to enable attendees to leave written messages for each other.
Special Airfares
Discount airfares are available with United Airlines. Detailed information on these discounts and other travel information (including car rental and ground transportation) is shown under Travel Tips. The SGIA ’06 travel site gives you the means to check and book hotels, air travel and rental cars.
Parking
Exhibitor Parking Passes are available under the following specific guidelines and can be purchased at the LVCVA Ticket Booths located at the entrance to the parking lots. If parking is needed for just a few days, the fee for the regular daily parking is $10.00 per day with no in-and-out privileges.
Passes that include in-and-out privileges may be purchased for the period Friday, September 22 through Friday, September 29 for $80.00; or Saturday, September 23 through Friday, September 29 for $70.00; or Sunday, September 24 through Friday, September 29 for $60.00: or Monday, September 25 through Friday, September 29 for $50.00. These passes are only issued for continuous periods of time as shown here.
Housing
A housing registration form, which you should complete, and return to Travel Planners Inc. as soon as possible (but absolutely no later than August 28) to insure your getting a room, is included in the Exhibitor Service Manual. Rates listed do not include a 9% sales tax. A description of all hotels, their proximity to the Las Vegas Convention Center and a map showing their locations is provided along with instructions on how to reserve a room online.
Telephone Calls from Hotels
Most hotels charge for telephone calls made from sleeping rooms after a certain number of rings, whether the phone call is answered or not. You will want to check your statement when you check out to be certain listed telephone calls on your statement are legitimate.
First-Aid Station
A first-aid station will be manned during set up, exposition hours, and tear down.
Insurance
You may wish to arrange for insurance, because the Specialty Graphic Imaging Association declines responsibility for any loss or damage which may befall the personal property of any exhibitor for any case whatsoever. SGIA suggests you not leave your booth unsupervised during the installation or dismantling periods when most losses occur. Also, you may wish to have a rider on your insurance policy covering travel from your home base to the show, during the show, and in transporting the merchandise back. At the close of the show daily, lock up projectors, portable electronic gear, small “stealable” items, garments, etc. If you don’t, it increases the possibility of “mysterious disappearances.”
Be certain your equipment is properly skidded. If your equipment or materials are damaged because of improper packing, it will be your sole responsibility.
Attention Garment Exhibitors:
Due to the problems we have had in the past with theft of soft goods in booths, we suggest that T-shirts, etc. not be put up in your booth until Tuesday morning, September 26, if at all possible. The show will open at 9:30 am so this may not be possible, but we did want to point out to you the possibility of theft and that it is your responsibility to protect against such loss.
Audio-Video & Computer Equipment
Should you require audio-video or computer equipment in your booth, please use the order forms contained in this Exhibitor Service Manual.
Photography
If you will require a photograph of your booth, please use the order form in the Exhibitor Service Manual. There will be no restrictions on taking a camera onto the exhibit hall floor at the convention. It will be your responsibility to establish a “No Photography” rule if that is your wish. SGIA will continue to enforce its “No Photography” rule for the Golden Image Awards area and André Schellenberg Gallery to protect copyrighted designs on display in that area.

An up-to-date floor plan with exhibitors and their booth numbers is included at www.sgia.org/sgia06/floorplan. You may choose “Company Name” or “Booth” at the top of the columns to see the listing alphabetically or by booth number.
Seminars/Social Events/Sports Events
On September 24 and 25, a Hazardous Materials Transportation Training session, presented by Nazdar in cooperation with SGIA, will be held at the Las Vegas Convention Center. You will receive training to satisfy requirements outlined by the U. S. Department of Transportation to improve your knowledge of hazardous materials regulations and help you prevent penalties and shipping delays. Full details and a registration form are located in the Exhibitor Service Manual.
Booth personnel are invited to attend the meetings and social events being held as part of SGIA ‘06. There is a registration fee for these events. Please use the Exhibitor Registration Form (pdf 132K) which is in the Exhibitor Service Manual.

Promotional Materials
Visiting the SGIA show has become increasingly SERIOUS business. Competition for the attendee’s time and attention is keen. The time each attendee has to spend with each exhibitor is limited, and the smart attendee knows that, so he plans ahead and decides who he MUST see, who he wants to see, and who else he might be able to see if time permits. The smart exhibitors also plan ahead to capture the attendee’s attention long before the show opens - therefore ending up on the must see list. Here are some suggestions on how you can engrave your name and booth number on the attendee’s mind before he gets to the show:
I. Advertising Advertise in the SGIA ‘06 Exposition Directory, which will be given to each of the expected 12,000 – 14,000 attendees. Several of the industry trade magazines are planning special show issues containing a great deal of information about SGIA ‘06. You have or probably will be contacted about advertising therein. These publications are associate members of SGIA and will also be exhibiting. You may wish to consider advertising in them. (If you do, be sure to include the SGIA ’06 logo and your booth number in your ad.)
Get on the SGIA ’06 Exposition Map with an ad attendees will carry day and night. Place a business-card sized ad that points to your booth. An ad placed alongside the exposition hall map is $3,000. Space is limited! Contact: Sylvia Hall or phone 703.359.1322.
II. Special Mailings
Another way to make people pay attention is to have special mailings before the show. You can write personal letters inviting people to visit your booth or send special printed advertisements about your products, show specials, etc. (Be sure to mention there is an entry fee, however — or take advantage of our “Best Customer Registration” plan — please call 703.359.1379 for details.) Include a SGIA ‘06 floor plan with your letter pointing out where your location is.
SGIA makes its membership lists available to exhibitors. You can order either pressure-sensitive labels, diskette, or an electronic list — sorted alphabetically or geographically — so that you can make regional or selective mailings. If you wish to order labels, use our order form contained in the Exhibitor Service Manual.
III. Using Show Logo to Advertise Participation
In the Exhibitor Service Manual you will find camera-ready artwork so you can promote your company’s participation and booth number in SGIA ‘06 in your pre-show trade press advertising, company newsletter, promotional materials, and letterhead. There is no cost to you.
IV. Virtual Trade Show
SGIA’s Web site receives over 370,000 visitors per year, making the Virtual Trade Show available to countless numbers of potential customers. Attendees can search for exhibitors “alphabetically” or by their specific “products and services” and may leave you a virtual business card for easy follow up. You can list specific product information, promote what’s new and offer show specials. You have 24/7 (password protected) access to your booth information! When we get closer to convention dates, we will encourage attendees to visit our Virtual Trade Show so they can determine their “plan of action” on the expo floor. So that you are part of this, please be sure to update your Virtual Trade Show booth on a regular basis!
V. Social/Meeting Functions Sponsored by Exhibitors
Hospitality suites, dinners, tours, and other private events are not to conflict with general convention activities. This is in accord with show rules which are part of the contract you have signed. What this means is that you can host an event anytime Monday, after 5:00 pm on Tuesday and Wednesday, not at all on Thursday, and after 3:00 pm on Friday during convention week.

For your information, the nearest bank to the Convention Center capable of handling international currency conversions is Bank of America, 1140 East Desert Inn Road, Las Vegas, Nevada 89109, Telephone: 702.654.4780. Hours are from 9:00 am – 5:00 pm Monday through Thursday, 9:00 am – 6:00 pm Friday, and 9:00 am – 1:00 pm Saturday. Customs
SGIA ‘06 has been declared a Trade Fair by the United States Department of Commerce. All international exhibitors should refer to the GeoLogistics information included in the Exhibitor Service Manual for complete details on freight forwarding to the United States. Transmittal instructions should be sent to GeoLogistics Expo Services LLC as soon as possible. Details can be found in the Exhibitor Service Manual.

Should you need to receive faxes during SGIA ’06 – you may receive them in the SGIA Show Office (Room N115, Lobby Level). The number will be published in a future Expo Extra. (Incoming faxes are limited to 4 pages.) We do not deliver faxes, so it is your responsibility to come to the show office to claim any faxes you may be expecting. If you need to send a fax, you may do so from the show office for $3.00 per page (U.S. only). You are also welcome to use our copy machine if you only need 2 or 3 copies.
Assistance for the Disabled
If you need special hotel accommodations, please advise the Housing Bureau. If you have a disability that may require any other reasonable accommodation, please explain your situation to SGIA in writing as early as possible.
